How to convert a PDF to Word and keep the formatting
Step by step · plain English · updated October 2026
You received a PDF and now you need to change a sentence, update a date or reuse a table. PDFs are built to look the
same everywhere, which is great for sharing and awkward for editing. Converting the file back to Word gives you an
editable copy in a couple of minutes.
Before you start: what kind of PDF do you have?
This single question decides how well the conversion will go.
- A "real" PDF (exported from Word, Google Docs or a website). The text is stored as text, so it converts cleanly.
You can usually tell because you can click into it and select individual words.
- A scanned PDF (a photo or scan of paper). The page is just a picture of text, so a normal converter has nothing
to read. For these you need OCR (text recognition) software, or you retype the content.
How to convert, step by step
- Open the EasyLife File Converter.
- Pick the PDF to Word option.
- Drop in your PDF or click to choose it from your device.
- Press Convert & download and open the resulting .docx file in Word, Google Docs or LibreOffice.
What usually converts well
- Plain paragraphs, headings and bullet lists.
- Simple tables with clear borders.
- Basic bold, italic and underline styling.
What may need a quick fix afterwards
- Multi-column layouts. Newsletters and brochures can shift. Check that the reading order is still correct.
- Unusual fonts. If the font is not installed on your computer, Word swaps in a similar one and line breaks can move.
- Complex designs. Heavily styled flyers or posters with text over images rarely convert perfectly. It is often
faster to rebuild those from scratch.
- Page numbers and headers. These sometimes arrive as normal text in the middle of the page and can be deleted.
Tip: after converting, scroll through the whole document once. Look for odd line breaks, missing
bullets and tables that have split across pages. A two minute check saves embarrassing mistakes.
If you still have the original Word file
Do not convert at all. Open the original, make your edit and export a fresh PDF. Converting from a PDF is always a
little lossy, while editing the source is perfect every time. Our guide on
converting Word to PDF covers the reverse direction.
